Overview The Jobs Register performs several functions:
  • It holds the list of Jobs for which documents are generated, received or issued.
  • It defines the need for Project (or secondary) numbering for technical documents,
  • It holds the relationships with other people, including:
    • Other People's reference for the Job,
    • Defaults for the Issue fo Technical Documents,
    • Defaults for the Distribution of General Documents,
    • The Organisation executing a Work Package.

Apart from the administration registers, all records are made against a Job.

Browse The principal function of the browse is to enable a Job to be located.

Details The details screen includes specification as to whether Project (or secondary) numbering for technical documents is required.
Definition of a Job
Apart from the Job's Reference and Title, additional information consists of the following:
  • The Type of Job. This is optional.
  • The addition of a Logo representing the Job, which may be displayed wherever a JobNo is shown on a report.
  • Whether Project Numbering is required or not and if it is whether it is optional or mandatory.
    • If Project Numbering is set to Required or Optional, then the Job must be linked into a Project, which must already have been setup.
    • If Project Nunbering is set to the default of NOT required, then the Project Reference and Project Title are hidden.
The Logo may be any type of image, and is stored within a binary field. It is treated as follows:
  • When required for use, a temporary image it is generated, which is deleted after use,
  • The aspect ratio of the logo is retained, and is resized automatically to match the default size,
  • The default size is 3.198 inches wide, and 0.635 inches high. Please note that this seemingly rather aribitarary size is convenient when represented in "Object Coordinates" in which the report definition is kept.

Others References When an organisation send information to another, the risk of the communication being mishandled is reduced if the recipients references are used in addition to the senders. Two items of information, of which at least one must be provided, are held:
  • The type of organisation
  • The organisations reference

The information may be added to any generated document or report.

Technical Document Issue Defaults The defaults are examined whenever a recipient is added to a Technical Documents Issues Distribution list relating to the Job. The following information must all be provided:
  • The Number of Copies to be sent,
  • Whether Acknowledgement of receipt is required,
  • The Reason for Issue,
  • The number of days allowed for return.

General Document Distribution Defaults The defaults are examined whenever a recipient is added to a General Document Distribution list relating to the Job. The firts two items of the following information must be provided, with latter restrictions being optional:
  • The Reason for sending the document,
  • If the Recipient is required to take action, the number of days allowed,
  • Restrict distribution only to the specified Subject
  • Restrict distribution only to the specified Group
